Automations
Automations are trigger → action rules. When something happens (for example a prospect is created), HiringCenter can send or schedule a text or email automatically.
Path: Settings → Automations
Admin and Owner only.
Create an automation
- Open Settings → Automations.
- Use a recommended starter if one is offered, or create a new rule.
- Choose a trigger (for example prospect created, or related activity).
- Choose an action:
- Send Message or Schedule Message (SMS)
- Send Email or Schedule Email
- Pick an identity. Messaging actions need an active identity and message content.
- For scheduled actions, set the delay and any business-hours options.
- Add filters so the rule only runs for the right people (license status, out-of-area, source, labels, and similar).
- Save. Keep the automation Active only when you are ready for it to run.
The UI warns when a new automation overlaps a broader existing one.
Virtual Meeting Room in the message
Message content can insert a Virtual Meeting Room chip. It pastes a tag such as {{virtualMeetingRoom:account}} or {{virtualMeetingRoom:<userId>}}. When the automation runs, that tag becomes the prospect-specific room URL.
The sending user or the chosen host must have meeting rooms enabled for the account. See Meeting Rooms.
Tips
- Keep filters tight. A rule with no filters can message the whole account.
- The identity must be active and assigned to people who should own that outreach.
- Automations send through the identity (and its linked mailbox for email). They do not use Device Handoff.
- Review overlapping rules before you activate a second welcome message.
