Connected Email & Calendar
Connect your Google (Gmail / Workspace) or Microsoft (Outlook / Microsoft 365) mailbox so HiringCenter can send from the address candidates already recognize, sync availability, and create calendar invitations.
Work and corporate domains use the same Sign in with Google and Sign in with Microsoft buttons. There is no separate “corporate email” connector.

Signing in is step 1 only. You must still link the mailbox to an identity or email continues to send from the HiringCenter address.
Not Device Handoff
Device Handoff queues a send from your phone. It does not send through Google or Microsoft. Do not use Device Handoff when you want Gmail, Outlook, or a work address in the From field.
Step 1 — Connect the mailbox
- Open Your Profile.
- Find Connected Email & Calendar Accounts.
- Click Sign in with Google or Sign in with Microsoft.
- Finish the provider sign-in (personal or work).
- Confirm the address appears in the list.
- Leave Send email on. Optionally turn on Calendar sync, Microsoft Inbox sync, and Share calendar details.
Google: Validation needed
Sign in with Google may show a Validation needed (or Pending) chip. Clicking it opens a HiringCenter popover — it does not go to Google yet.
- Enter the Google email you want to connect.
- Support is emailed (you are CC’d) so that address can be allowlisted.
- When HiringCenter enables access, the chip disappears.
- Click Sign in with Google again to complete the normal Google sign-in.
People who already have a Google mailbox connected do not see the chip.
Microsoft 365: Need admin approval
Work / school Microsoft 365 accounts often require a tenant admin to approve HiringCenter. Personal outlook.com / hotmail.com accounts usually do not.
- Click Sign in with Microsoft. If Microsoft asks for approval, request access, then return to Profile.
- Profile shows Microsoft 365 admin approval needed (also under Need admin approval?).
- Click Copy message for your IT admin and send it to your Microsoft 365 / Entra admin.
- The admin approves HiringCenter in the Entra admin center (Identity → Applications → Enterprise applications → Admin consent requests).
- You click Sign in with Microsoft again. Approval alone does not create the connection.
Do not click Back to app on Microsoft’s confirmation screen. That looks like a failure even after you submitted the request. Close that tab and return to HiringCenter.
Step 2 — Link the mailbox to an identity
- Open Settings → Identities.
- Find the identity you send from (you must be assigned to it, or be an admin).
- Click No connected account → pick the mailbox.
- Wait for Identity linked to connected mailbox.
If you have no identity, ask an admin to create and assign one. Details: Identities.
Step 3 — Send from Conversations
- Conversations → prospect → Email.
- Start Conversation → HiringCenter Identity (Recommended), not Device Handoff.
- Pick the identity that shows the linked address.
- In From, choose Google Mailbox or Microsoft Mailbox, not HiringCenter Email.
- Send.
Connection toggles
On the connected account you can turn:
- Send email — required to use that mailbox as From
- Calendar sync — availability and invitations on your primary calendar
- Inbox sync (Microsoft) — import prospect replies into the conversation
- Share calendar details — teammates see event titles; when off they see Busy
Google replies are not read from Gmail. They appear in HiringCenter if the candidate replies to a thread HiringCenter already has, or if mail is forwarded to the identity address.
Troubleshooting

| “Won’t let me send as myself” | Not connected, not linked, or you chose Device Handoff / HiringCenter Email. |

| Send email is off | Turn it back on for that connection. |
| Gmail not enabled (Workspace) | Ask your Google admin to enable Gmail, then reconnect. You can still send with HiringCenter Email. |
| Validation needed on Google | Submit the email in the popover and wait. Do not expect a Google consent page until the chip is gone. |
| Microsoft admin approval / AADSTS65004 | Follow the Microsoft 365 steps above, then sign in again. |
